The Administrative Assistant I performs administrative and office support activities for the Office of Information Technology. Duties include, but not limited to answer and direct phone calls, receive and guide visitors, word processing, fund management, create spreadsheets and presentations.

 

Major duties and responsibilities:

  • Assist with all aspects of administrative management, directory maintenance, logistics, equipment inventory and storage.
  • Manage inventory of assets and supplies, sourcing for suppliers (vendors) and submit invoices.
  • Coordinate, in liason with other departments and operating units, the procedure to solve day-to-day administrative and operational problems.
  • Schedule and coordinate meetings, interviews, events and other similar activities.
  • Send out and receive mail, packages and business correspondence.
  • Manage a fund, keep record of department expenses and work on basic financial reports.
  • Create purchase orders and follow-up on store room orders.

 

Requirements:

  • Bachelor studies in Information Technology, Customer Service or related areas.
  • Previous experience in the position will be valued.
  • Must be proficient in Microsoft Office, familiar with Excel Spreadsheets and graphs.
  • Customer service attitude.
  • Extensive knowledge in software, Internet research abilities and strong communication skills are required.
  • Ability to communicate with and relate to a wide range of people fluently in both English and Spanish in a multicultural environment.
